Rules

The Venue (CIFR or Venue) has adopted, and enforces, the following rules for your safety and security:

Code of Conduct

     

      • All events are subject to attendees and visitors agreeing and adhering to a code of conduct that is inclusive, respectful and kind, bad actors will be asked to leave.

      • Events with an attendance over 25 will require crowd control or security, specified by venue manager, unless a waiver is granted. All waivers are issued at the discretion of management, and all decisions are final. 

      • Event venues with swimming pools require appropriate attire, and bring your own towels. ALL SWIMMING IS DONE AT YOUR OWN RISK. THERE IS NO LIFEGUARD. NO DIVING. NO GLASS CONTAINERS WHATSOEVER. 

    Deposit & Payment Options

       

        • A $500.00 security deposit is required in case damages occur. You will receive a $500.00 refund on your card within 1-2 weeks after the event if there is no damage.

        • 50% of the total estimated amount due is required five months prior to your event date, the remainder of the balance is due one month prior to your event. 

        • The guaranteed guest count is due one month prior to your event. All packages include 150 guests, each additional guest over the 150 guests is $5.00 per guest. That payment is due one month in advance of the event with the last payment, and is also non-refundable.

        • Prices are subject to change until a contract is signed, quotes only good for 72 hours.

      Cancellation Policy

         

          • You must submit your cancellation in writing. If an event is canceled, you must notify CIFR in writing. You will only be refunded half of the money paid to date, excluding the $500.00 deposit.

        Property Access

           

            • CIFR capacity is 350 guests, however, up to 150 guests are included in the price.

            • A $5.00 fee will be added per guest going over the 150-guest capacity limit.

            • On the day of your event, you will have access to the venue for the entire day. Everyone must be out by 11:00 p.m. (this includes time allowed for cleanup).

            • CIFR will make sure the property is maintained appropriately for your event.

            • Only property is supplied, tables and chairs are not included. Tables and chairs are to be provided by vendors or event coordinators. Once the tables and chairs are set up, and if a rain shower occurs, CIFR is NOT responsible for drying tables or chairs off.

          Events and Wedding Rehearsal

             

              • You will be allotted a time slot for your 2-hour rehearsal if the Venue is available (schedule to be determined by CIFR). Due to other events, this may not be able to occur on the night before a wedding. This will be scheduled up to two months prior to your event date. CIFR will do everything possible to make this type of schedule convenient for you and your party.

              • If you would like to have a rehearsal dinner at CIFR, it is an extra fee of $300 for the rental of the space and does not include any additional products or services.

              • Rules for alcohol apply the same to rehearsal dinners as weddings, receptions and events.

              • Clean-up for rehearsal dinner: trash bags must be tied and placed at the back of the venue at the kitchen door and the kitchen must be cleaned.

              • Venue closes at 10:00PM for rehearsal and rehearsal dinner.

            Decorations

               

                • Only free standing decorations are allowed inside and outside on the property of CIFR. Candles are only permitted if contained in proper globes, cylinders, or floating. No open flames are allowed on the premises of CIFR.

                • The following items are prohibited in decorating and may NOT be used on the property:  nails, screws, tacks, staples, tape, glitter, confetti, and birdseed

                • All decorations and flowers are to be removed by the end of the rental period.

                • If you use any feather boas, you need to clean up all feathers immediately after reception.

                • If you are using any of CIFR’s glassware, tables or other decorations, you need to return them to their proper place.

              Cleaning

                 

                  • All individuals using the kitchen are responsible for cleaning up before leaving. (These guidelines are posted throughout the kitchen.)

                  • Kitchen floors must be swept.

                  • All sinks, countertops, microwaves, and warmers must be wiped down

                  • All trash must be placed in designated trash bins.  Caterers must take their trash back to their property to their dumpster.

                  • Full trash bags are to be placed outside kitchen door in the back of the venue.

                  • All leftover food must be removed from the refrigerator.

                  • If bottled water is provided for the guests during the event, you will be responsible for the cleanup at the site.

                  • All trash and belongings are to be removed from the site.

                  • CIFR will only be responsible for the trash the night of the event.  If extra cleanup is needed the next day, your cleaning party is responsible for taking off all boxes.

                 Smoking Policy

                   

                    • Smoking is only allowed in the designated smoking area outside under the gazebo.

                    • There is no smoking allowed inside any of the structures or parking lot.

                  Alcohol Rules

                     

                      • CIFR does not serve any alcohol, and only approved bartenders may sell alcohol.

                      • All drinks must be served by a licensed bartender that is approved by CIFR. You are responsible for making arrangements with the licensed bartender.

                      • The licensed bartender is the only person allowed to bring alcohol on the property.

                      • You are accountable for your guests’ consumption of alcohol and conduct. Please be responsible and respectful of the property. The venue is not responsible for any use or consumption of alcoholic beverages, and will not be responsible for any damages.

                    Security

                       

                        • Events with more than 25 guests will need to have at least one (1) security guard, at an additional fee. 

                        • All events with alcohol require a security guard that will be on the premises from the start to the finish of the event, at an additional fee. CIFR will arrange for law enforcement. Two officers will be required if you have over 200 guests.

                      Outdoor / Weather option

                         

                          • CIFR is not responsible for drying/cleaning table and chairs.

                          • Tables taken down to the event site are to be brought up to the venue.

                        Overtime / Damages

                           

                            • If any damages occur to the CIFR property/venue due to negligence, you will not receive your refund of your $500.00 security deposit.

                            • If your party stays later than 11:00 p.m. you will be charged $250.00 for every hour.

                            • The following items are prohibited in decorating and may not be used on the property: nails, screws, tacks, staples, tape, glitter, confetti, and birdseed.

                            • No open flames are allowed on the premises of CIFR.

                            • Cooking will not be allowed on the property. (Catering in kitchen only)

                            • You must inform your Vendors of your allotted time slot of your event. They are responsible for the cleaning up and leaving at 11:00 p.m. or you will be charged an additional fee of $250.00.

                            • No outside alcohol is allowed. If anyone other than the bartender brings any alcohol on the premises, they will be asked to leave.

                            • CIFR is not responsible for any items lost or damaged.

                          Vendors

                             

                              • Vendors may not sell, give away or trade any form of THC-derived cannabis, psilocybin, or any other psychoactive substance regardless if it is considered “legal” or not.

                              • Vendors may not sell any herbs, entheogens or adaptogens on the property. 

                              • Vendors must provide their own booth, table, two chairs and a trash can. 

                              • You will receive an approved vendor list when signing a contract with CIFR that will include production, rental, security and staffing companies that have qualified with CIFR to do business.

                              • You must use a preferred licensed caterer and/or bartender from the vendor list.

                            Wedding Coordinators

                               

                                • While CIFR is focused on events for nonprofits, wedding coordinators are welcome and CIFR will assist them if needed.

                              Sound System

                                 

                                  • CIFR Events Centers are wired for most sound systems.

                                Insurance

                                   

                                    • Insurance of 2,000,000.00 general liability is required to rent the venue from CIFR.

                                    • CIFR is committed to the safety, security and dignity of its attendees, and seeks indemnification of the organization through insurance policies that protect each of the managers, employees, volunteers and organization from claims that result in injury or loss beyond our control. The organization goes to great lengths to provide a safe, inclusive and secure venue and recommends the following insurance for your next event.
